Compare · Proposal and quote software

Proposify makes the proposal look right. You still have to write it.

Proposify is built for teams that care how a proposal looks and want sales reps inside guardrails rather than inside a blank page. It is design-first and does that well. The starting point is still a template you built, and the pricing is still per user with a send limit on top.

The difference that is not a feature

Proposal tools do one of these three. This does all of them.

Proposal software assembles a document from a library you maintain, which is faster than a blank page and is still you doing the work. It also stops at the send. DocuDeal writes the document from what you already have, reads the signed copy back into fields, and summarises across everything a client has received.

Writes
01

It writes every document

Proposal, quote, contract, NDA or statement of work, from the call transcript, the notes and the attachments you already have. No template built first, no tidying up before it goes in. Scope, assumptions, terms, the priced table, recipients with signing order and the signature fields, all in one pass.

Reads
02

It reads every signed one back

The moment a document completes, the terms come out as fields: parties, effective and end dates, renewal date, whether it auto-renews, notice period, value, governing law and each side's obligations. A signed agreement stops being a PDF nobody opens and becomes a row you can filter.

Summarises across
03

It summarises across them

Everything you have ever sent one client sits on one link, with a written status note across all of it: what is signed, what is waiting on whom, what happens next. Across the whole repository you can see what renews in January, what carries a notice period shorter than sixty days, and what you actually committed to on the deal a colleague closed last year.

One tool for every document, not just the proposal, and priced per workspace rather than per seat from Pro. The template library stops being something somebody has to own.

First, the fair version

What Proposify is good at.

Proposify's brand control is the best argument for it: locked sections, approved content, a proposal that comes out looking like your company designed it rather than like a rep did. For agencies and studios that is worth real money.

Where it stops

Four things that are still yours to do.

01

Two meters, not one

You are billed per user, and each plan also carries a monthly send limit. That is two ceilings to plan around: how many people can use it, and how many proposals they are allowed to send. DocuDeal has one number per plan for the workspace, and from Pro the number of people is not part of it.

02

A template still has to exist

Design-led means the design is decided in advance, which is exactly right for a repeatable offering and exactly wrong for a bespoke scope. When the deal is not shaped like your template, you are back to editing. DocuDeal writes the structure from what the deal actually is.

03

It stops at the signature

The proposal is sent, viewed, signed, and then it is a record. It is not read back into terms, and nothing tells you in November that January carries a renewal with a 60-day notice period. DocuDeal extracts parties, dates, value and notice from every signed document.

04

Proposals only

The NDA, the statement of work and the contract live somewhere else. DocuDeal produces all of them from one catalog and one place, which is the difference between a proposal tool and a document system.

Published pricing

What Proposify costs, from their own page.

  • Plans are priced per user per month.
  • Every plan includes a monthly send limit; drafting and editing are unlimited and a send is counted when a proposal is shared with a client.

The two other differences
01

The library stops being somebody's job

Proposal tools are only as current as the last person to update the content library, and the drift is invisible until a client is quoted last year's rate. Here the document is written from what the deal actually is, so there is nothing to keep current except your price list.

02

Seats stop being the meter

Every proposal tool on this page bills per seat, so the bill grows with the team. DocuDeal Pro is $149 a month for the whole workspace with unlimited users, $449 on Business. A team of two and a team of twenty pay the same. Free and Starter are single-seat.

Questions people actually ask

Straight answers.

Is Proposify or DocuDeal better for a small team?

Proposify if your proposals are a designed artefact and your offering repeats cleanly enough to template. DocuDeal if the scope is different every time and the expensive part is writing it, not styling it.

How is Proposify priced?

Per user per month, with a monthly send limit on every plan. Drafting and editing are unlimited; a send is counted when you share a proposal with a client. So there are two ceilings to plan around rather than one.

Does DocuDeal lock down branding the way Proposify does?

Partly. You get a custom domain and theme on Pro, and a playbook in Settings that the AI obeys, so rules like never discount past 10% hold whether you are at your desk or not. What we do not have is Proposify's section-level content locking, which is its strongest feature.

Can DocuDeal do contracts and SOWs as well?

Yes, and NDAs and quotes, from the same catalog and into the same repository. Proposify is a proposal tool by design, so the rest of the paperwork lives somewhere else.

The verdict

Proposify wins on brand control and loses on flexibility. If a rep going off-piste is your problem, buy it. If a blank page at 9pm is your problem, it does not solve that.

When to pick them instead

We are not right for everyone.

Pick Proposify if your proposals are a designed artefact, your offering repeats cleanly enough to template, and keeping reps inside brand guardrails is the problem you are actually solving.
