Privacy policy
This policy explains what Fieldproxy, Inc. ("DocuDeal", "we") collects when you use DocuDeal, why we collect it, who else sees it and what you can ask us to do about it.
Who we are
Fieldproxy, Inc., 355 Bryant Street, Suite 403, San Francisco, California 94107. For anything in this policy, including any request about your data, contact support@docudeal.ai. For the purposes of data protection law we are the controller of the account data described below, and the processor of the document content you put into the product on behalf of your own clients.
What we collect
Account data
Your name, email address, workspace name, and billing details. Billing is handled by Stripe; we do not store full card numbers.
Content you create
The documents you draft, the catalog and client records you set up, the files you upload, and the recipients you send to. This is yours. We store it so the product works.
Recipient activity
When you send a document, we record when it was opened, by whom, how long was spent on each section, comments left on it, and the signature events. Your customers rely on this record and so do you: it is what a certificate of completion is made of.
Technical data
IP address, browser and device information, and timestamps, both for security and because signature records are not worth much without them.
What you type on this website
If you describe a deal in the box on our home page, that description is sent to our team by email so we can see what people are trying to produce, whether or not you go on to create an account. That email also carries your IP address and the approximate city it maps to, the page you were on and the site you arrived from. It is not published, not sold, and not used for advertising, and we do not try to work out who you are from it. Ask us at support@docudeal.ai and we will delete it.
Why we are allowed to hold it
- To provide the service, which is the performance of our contract with you.
- To keep it secure and prevent abuse, which is our legitimate interest.
- To meet legal obligations, including retaining signature records where the law requires it.
- With your consent, for anything optional, which you can withdraw.
AI processing
DocuDeal sends the content you are working on to a large language model in order to draft and revise your documents. Two things about that:
- Nothing you put into DocuDeal is used to train any model.
- You choose the model. Models are accessed through OpenRouter, which routes the request to the provider you selected. That provider processes the content in order to return a result, under its own terms.
Pricing is never generated by a model. Figures are computed by our own code from the catalog you set up.
Who else sees your data
Only the processors we need to run the service: our hosting and database provider, the model provider you choose via OpenRouter, Stripe for payments, and our email delivery provider. We do not sell your data, and we do not share it for advertising.
If you use your own email address for sending, invitations and reminders go out through your mailbox rather than ours.
Where it is held
Data is stored in the United States. Where a processor is outside that region, transfers are made under the appropriate safeguards, such as Standard Contractual Clauses.
How long we keep it
Account and document data is kept for as long as your workspace exists. You can set a retention window for recipient traces and logs, and you can export everything as JSON and CSV at any time. When you delete your workspace we delete its data within 30 days, except where we are required to retain signature and transaction records for longer.
Security
Each workspace is isolated at the database level, access is authenticated, and every significant action is written to an audit log you can read.
Your rights
Depending on where you live, you can ask us for a copy of your data, to correct it, to delete it, to restrict or object to processing, or to receive it in a portable format. Email support@docudeal.ai and we will respond within the period the law allows. You can also complain to your data protection authority.
Cookies
We use cookies that are necessary to keep you signed in. If analytics are enabled, they are used to understand which pages are read, and you can refuse them without losing access to anything.
Children
DocuDeal is a business product and is not intended for anyone under 16.
Changes
If we change this policy materially we will tell account holders by email before it takes effect. The date at the top always reflects the current version.
